Position Description

The Event Planner coordinates special congregational activities, biblical feast celebrations, and fellowship gatherings, working with other ministry leaders to ensure that events are organized, appropriately staffed, and consistent with the congregation’s mission.

Responsibilities

• Plan and coordinate approved congregation events and activities.
• Develop schedules, preparation checklists, and itineraries.
• Coordinate event dates and spiritual themes with the Elder.
• Submit major event plans for approval by the Board Members.
• Work with the Treasurer to develop event budgets and estimate expenses.
• Coordinate with the Volunteer Coordinator to recruit and schedule event volunteers.
• Arrange kitchen support, greeters, and other hospitality needs.
• Coordinate with the Worship Music Coordinator when music is needed.
• Work with Children’s Class Teachers when special children’s activities are planned.
• Provide event descriptions and details to the Editor and Social Media Director for public promotion when necessary.
• Ensure event information is accurate and distributed in advance.
• Organize supplies, equipment, setup, and cleanup requirements.
• Review completed events and recommend improvements for next time.
• Maintain records of event procedures and useful planning resources for future volunteers.

Requirements & Qualifications

• Strong organizational, planning, and communication skills.
• Ability to coordinate multiple volunteers and responsibilities.
• Familiarity with congregation activities and biblical feast celebrations.
• Basic budgeting and resource planning skills.
• Ability to manage schedules and deadlines.
• Willingness to collaborate with other ministry leaders.
• Flexibility and problem-solving ability during events.

Works Directly With: Elder, Treasurer, Volunteer Coordinator, Social Media Director, Website Post Editor, Worship Music Coordinator, Kitchen Staff, Greeters, and Children’s Class Teachers.
